Rec Soccer practice and game schedules are entered into our registration system which means that the schedules are available when you log in to SI Play Login.

The U5/U6 and U7/U8 game schedule is pretty simple to create since these divisions are all in house (All GCAA teams). Someone on the Recreation Soccer Committee will take the team names out of the database and input them into the game scheduling Excel spreadsheet and a schedule is created.
All that is left is to fill out the location and time. For U5/U6 and U7/U8 this is rather simple since it is all in house and does not require any coordination with any Carolina Recreation Association (CRA) teams.
U10, U12, and U15 divisions are not as easy as we usually do not have enough teams in each division to schedule our teams in house. Occasionally GCAA does have enough teams in a division but we still work with the CRA to help other soccer associations complete their divisions. Each season at least two people from the Rec Soccer Committee meet with the other associations to hash out the schedule. This meeting normally takes at least four hours.
During the CRA meeting we determine which associations will be working with each other for each division. We do our best to work with associations closest in proximity to reduce travel time. Once we determine who is working together the location and time is completed based on the field availability. During this process we take into consideration things like picture day (keep teams at home), activities at the home complex (schedule away games), travel time (try to avoid early games) and coaching conflicts for coaches who coach more than one team (super heroes!). It is a manual process and sometimes some divisions end up with teams that have more travel games than others due to the randomness of the schedule, coaching conflicts, and field availability. Not all associations have fields available every week.
Once the schedule is set the process of posting the schedule to the website is started. In the past it was a four hour process for the academy schedule (U6, U7, and U8) and a four hour process for the older divisions (U10, U12, and U15). You would go the schedule page and enter in the coach’s name and the team schedule would be listed. In 2014 this was updated so that each team could see their schedule as well as all other teams in the division on one page. This was still a lengthy process (6-8 hours) but the user experience was improved. In 2015 the game scheduling Excel spreadsheet was updated to also create the team schedules. This was a very big effort but should significantly reduce the effort to post schedules to the website going forward.
Once the schedules are posted to the website we cross reference the schedules with the master game schedule for accuracy. When this is completed we send the master schedule to the referee assignor who begins the process of assigning referees to the U10, U12, and U15 divisions.

On paper this seems like a simple request. For the U6, U7, and U8 division this is a pretty easy request as these games are all in house (all GCAA vs GCAA), refereed by the coaches, and we have plenty of field availability. Once the coaches agree on a time they can notify their teams. GCAA makes every attempt to accommodate game reschedules at the U6, U7, and U8 division.
U10, U12, and U15 divisions are not a simple request. If the game is with another association it takes coordination from the Rec Director at the association who is probably very busy. It also assumes field space is available. Provided that the an agreeable time then the master field schedule must be updated and sent to the referee assignor to cancel the existing referees and find new referees. Then the game scheduler Excel file needs to be updated. Next the website needs to be updated for the teams involved. Last the teams need to be notified. This is not a simple process as tracking down unpaid volunteers is not an easy task.
If there was a one person dedicated to doing all the reschedules then GCAA could be more accommodating. However there are only a few dedicated people volunteering many hours of their time to run GCAA Rec Soccer. The GCAA Rec Soccer Committee simply does not have enough bandwidth to reschedule games for your convenience. Many are already volunteering 50-100+ hours a season.
